How to set up Automatic Lead Management (ListBoss)

Automatic Lead Management (ListBoss) is a Hotmart tool that allows you to automate actions between your product events and your email marketing provider. With it, you can organize contacts into lists, apply tags, move leads between segments, and create communication flows that better match your customers' behavior.

In this article, you'll learn how ListBoss works, which events can be used in segmentations, how to configure a new rule, and which actions can be automatically executed in your email marketing provider.
 

What is ListBoss?

ListBoss connects Hotmart to your email marketing provider to perform automatic actions whenever a specific event occurs in a product.

In practice, this means you can create segments based on the behavior of your leads and buyers. For example:

  • Add a buyer to a specific list when a purchase is approved.
  • Apply a tag to contacts who abandoned their cart.
  • Remove a tag after a refund.
  • Move contacts to another automation when a purchase is completed.

These actions happen automatically, without the need to export lists or perform manual updates.
 

How does a segmentation work in ListBoss?

Each segmentation is made up of three main elements:

  • Event: Defines when the automation will be triggered.
  • Condition (optional): Allows you to refine which contacts will be included in the rule.
  • Action: Defines what will be executed in your email marketing provider.

For example:

  • Event: Purchase approved.
  • Condition: Buyer's language = English.
  • Action: Add lead to the "English-Speaking Buyers" list.

When this combination occurs, the contact will automatically be sent to the configured list in the integrated provider.
 

Which events can I use?

The available events may vary depending on the product and the integrations being used. Currently, ListBoss allows you to create segmentations based on purchase status, whether your customer has reviewed the product, and the product access method.

When configuring a segmentation, the platform will display only the events available for setting up ListBoss in that specific context.

Which actions can be executed?

Available actions depend on the email marketing provider integrated with your account.

In general, you can use options such as:

  • Add tag.
  • Remove tag.
  • Add lead.
  • Move lead.

Some providers also offer additional actions. These options are available during segmentation setup.

Can I create conditions to refine my segmentation?

Yes. Conditions allow you to create more specific rules for your automations.

Depending on the selected event, you may use criteria such as:

  • Payment method.
  • Purchase currency.
  • Buyer's language.
  • Buyer's country.
  • Offer used in the purchase.
  • Number of installments.
  • Smart Payment status.

Conditions are optional. If no condition is defined, the segmentation will run for all contacts that meet the main event criteria.

How do I manage my segmentations?

On the tool's main screen, you can:

  • Enable or disable segmentations.
  • Edit existing settings.
  • Run integration tests.
  • Delete segmentations.
  • Identify possible errors or configuration incompatibilities.

If a rule contains inconsistencies, it will be flagged for review before use.

Which email marketing providers can be integrated?

Hotmart offers integrations with several email marketing providers. Availability may change over time, but it includes platforms widely used in the market.

How do I configure a segmentation in ListBoss?

Before creating a segmentation, you must have an email marketing provider integrated with your Hotmart account.

Then follow these steps:

  1. Access your account at: https://app.hotmart.com.
  2. In the left-hand menu, click Tools > View all.
  3. Select Automatic Lead Management (ListBoss).
  4. Choose the product you want to configure.
  5. Click Create segmentation.
  6. Enter a name for the segmentation.
  7. Select the integrated email marketing provider.
  8. Choose the event that will trigger the rule.
  9. Configure any desired conditions, if necessary.
  10. Select the action that should be executed in the provider.
  11. Review the information and click Save segmentation.

After creation, the segmentation will be available on the main ListBoss page.

Do I need to configure conditions to create a segmentation?

No. Conditions are optional. If they are not configured, the segmentation will run for all contacts that trigger the selected event.

Can I create multiple segmentations for the same product?

Yes. You can create as many segmentations as needed to support your communication strategy.

Are the available actions the same for all providers?

No. Each provider has its own capabilities. As a result, the actions displayed during setup may vary depending on the integration used.

What should I do if my segmentation shows an error?

Check whether the provider is still properly integrated and review the configured events, conditions, and actions. Segmentations with inconsistencies are identified within the tool itself to make corrections easier.

Where can I find ListBoss on the platform?

Access your Hotmart account and, in the left-hand menu, click Tools > Automatic Contact Management (ListBoss). From this screen, you can create and manage all your segmentations.
